Privacy policy - SharpShooter Gold

SharpShooter Gold for Android is directional drilling software for the phone. It works with the SharpShooter Gold Field and Office desktop software used by directional drilling companies.

What the app handles

The address or link code of your company's SharpShooter computer, your phone username and password, and the drilling data you view or enter (surveys, slides, tally rows and projection settings).

How it is used

The app sends this information only to the SharpShooter computer you sign in to, over a connection encrypted end to end between the phone and that computer. The computer saves the drilling data in your company's job database.
When a phone connects through SharpShooter Link, the link server passes the encrypted connection between the phone and the computer. It cannot read what is inside it, and it keeps no drilling data, usernames or passwords.
Satellite picture: to draw the pad under the well, the app asks sharpshootergold.com for Mapbox's public map key, then sends the pad's latitude and longitude (from the well plan on the computer) to Mapbox (mapbox.com), which sends back the picture. Nothing else goes with it, and Mapbox's own privacy policy covers that request. With Satellite off on the chart, nothing is asked for.
Apart from that, the app does not send data to the publisher or to any other third party. It contains no advertising, analytics or tracking.

Storage on the phone

The app remembers the computer addresses and username that have worked so you do not have to retype them. If you choose Stay signed in on this phone, the password is kept sealed in the phone's own secure keystore; otherwise it is not stored. Drilling data is shown while you are connected and is not saved by the app. The pad's satellite picture is kept in the app's own folder for up to 30 days (as long as Mapbox allows) and then deleted. Uninstalling the app removes everything it stored.

Camera

The camera is used only to scan the sign-in code shown on the computer. Images are not stored or sent anywhere.

Your company's data

Surveys and slides entered in the app belong to your employer or client and are handled under their policies on the SharpShooter computer.

Children

The app is intended for adults working in the drilling industry and is not directed at children.

Learned motor data (SharpShooter Gold on Windows) - it stays with you

SharpShooter Gold on Windows learns how each BHA set-up yields in each formation. Each computer keeps what it learns, and keeps a copy in its own space on our server. When a company signs the company data agreement on the client portal (Your data), its licensed copies share what they learn with each other there - inside the company only. It is never shared with, shown to, or used for another company or user. What a copy sends is: a fingerprint of the BHA set-up (its make-up, size and bend, no serial numbers), the formation name, an inclination band, the metres slid and rotated, the measured rates and dogleg, the toolface set and achieved, a slide grade, averaged drilling parameters and a rough area about 50 km square - never well, operator, rig, company or people names, licence or well numbers, exact locations, depths, azimuths or dates. A copy proves it is licensed with its activation key or demo permit. The company can delete its learned data on the client portal, and anyone can email us to have their copies' data removed.

Pneuma Privacy Notice and Agreement

Pneuma (Kinsley and Kane) is the AI assistant of SharpShooter Gold. It collects information when you use it, so please read this before your first question.

Who is responsible

SSG Drilling Technology Ltd. (BC company no. BC1613232), British Columbia, Canada - the company that makes SharpShooter Gold and Pneuma - is responsible for the information Pneuma collects. In this notice, "we", "us" and "SharpShooter Gold" mean that company. Our privacy contact answers privacy questions and requests: [email protected], or through sharpshootergold.com/support.

What Pneuma collects

Your questions and Pneuma's answers, and any "Helpful" or "Not right" mark and note you add.
Who asked: your client-portal account; without an account, a random code this website keeps in a cookie in your browser; or a code for the SharpShooter program copy and computer that asked. Also the date and time, and the internet address used (for security, and to slow down floods of questions).
Only when you ask for the weather without naming a place: your approximate location from your phone or browser (which asks your permission first), rounded to about 10 km. It is used for that one answer and is not kept.
Only when you choose to include them: the open well's numbers from the program ("Use this well"), a photo, PDF or file you attach (the paperclip or the camera button), and a computer check (serial ports and rig data feed state - you see it before it is sent). These are used to answer that question; what Pneuma read from an attached file is also used for follow-up questions in the same chat for up to 30 minutes, in the server's memory only. None of it is written down or kept on our server; only a file's name is kept with your question.
The time zone your phone, browser or computer is set to (for example America/Edmonton), sent with each question so Pneuma can tell you your local time and date. It is not kept.
Talking to Pneuma: your browser or Windows turns your voice into text (they may use their own speech service for that, under their own privacy terms); we receive only the text.
Hearing an answer read aloud: the words of the answer are turned into sound on our server. When the SharpShooter program reads out an answer it worked out on your computer (for example from the open well's surveys or slides), only those words are sent, for that sound, and they are not kept.

How it is used

To answer you, and to keep the conversation going. With an account, your chats are listed for you on the website - only you see them - and you can carry one on or delete it.
To learn for you: things you ask Pneuma to remember, your corrections (including a note with "Not right"), answers you mark Helpful and answers we check for you are used again for your own later questions.
To check and fix answers: SharpShooter Gold staff may read questions and answers to check that Pneuma answered correctly.
For security (spotting attempts to misuse Pneuma, and slowing down floods of questions) and usage counts.

What Pneuma learns stays with you

What Pneuma learns from your questions stays in your own account (without an account, with your browser's code only). If your company signs the company data agreement on the client portal, it is shared between your company's own people and computers only.
It is never shared with, or used to answer, any other company or user.
Pneuma's general knowledge comes from SharpShooter Gold's own library and teaching and from public sources on the web - never from another company's or an operator's information.
When Pneuma looks something up for a question, the public article she found (from Wikipedia, Wikibooks, Wiktionary or Stack Overflow) may be kept in her general library - never your question. The ordinary topic words of a question she could not answer (never names, wells or numbers) may be kept so she can study that topic from public sources.
Do not give Pneuma information you are not allowed to share with SharpShooter Gold - for example an operator's confidential data your contract does not let you share.

Helping improve Pneuma (your choice)

You choose whether your questions and Pneuma's answers may be used to improve Pneuma, including training her AI model. It's a separate choice from agreeing to this notice: you can use Pneuma either way, and you can change it at any time on the client portal under Your data.
If you say yes: questions and answers from new or continued chats (and any Helpful or Not right mark and note) may be read by SharpShooter Gold staff and used to train and test Pneuma. Before they are used we take steps to remove names, e-mail addresses, phone numbers, well names and locations, and company details. They are kept for up to 5 years.
If you say no: your questions are used only to answer you, and to check and fix her answers, as described above. They are not used to train her model.
Never used for training, whatever you choose: chats without an account; anyone under 18; questions from a company account with the company data agreement; anything from a well, a job, the rig feed or an operator's data; attached files and photos; support requests; chats you delete.
Questions flagged as possible misuse may be used to improve Pneuma's protections against misuse.
Turning it off later stops future chats from being used. Anything already used to train a model stays in that model.
Pneuma's training data is never sold.

Who else handles it

Pneuma runs on SharpShooter Gold's own server, with its own AI model. A computer of SharpShooter Gold's own may write her answers for that server: the question, the notes needed to answer it and any photo sent with it go to that computer over an encrypted connection while the answer is written, and are not kept there.
Pneuma's answers are written on SharpShooter Gold's own server and computers, with her own AI model. No outside AI company writes her answers.
No outside AI company receives your questions or Pneuma's answers, and none is used to check or fix them.
If you said yes to helping improve Pneuma, her model may be trained on rented computers, which may be in the United States.
We use these services only for the purposes above, and we turn off any setting that would let them use your information to train their own AI. Questions about them, or about where your information is handled: our privacy contact (above).
When Pneuma looks something up online, only the topic words of your question go out - never names, wells, numbers or your question as a whole. She looks in free sources such as Wikipedia, Wikibooks, Wiktionary, Stack Overflow and research-paper indexes, and in a web search service when SharpShooter Gold turns one on, and reads the pages they point to.
For the weather, only the town or place you name goes out: to Environment and Climate Change Canada or the US National Weather Service, and - to find the place on the map - to the Government of Canada's place-names service or OpenStreetMap. Never your question, names, wells or numbers. With your location, a place in Canada stays on our server (only the nearest Environment Canada forecast is fetched); a place in the United States goes to the US National Weather Service, rounded to about 10 km.
If you give Pneuma a web address, she reads that page for you, so that address goes to that website. Do not give her private links (for example a link that signs you in or shares a private file).
Our website server is rented from a cloud hosting company and may be outside Canada, including in the United States.
We do not sell your information. We disclose it only when the law requires it.

How it is protected

The connection from the program, the website and the app is encrypted (HTTPS).
Questions and answers are stored encrypted on our server, kept apart for each account and company; only SharpShooter Gold staff can open them.
Backups keep account and company information encrypted.

How long it is kept

Questions and answers are deleted after 12 months (up to 5 years if you said yes to helping improve Pneuma), except answers marked Helpful or checked for you, which stay as your learned answers until you or your company delete them or the account is closed.
Without an account, questions and answers are deleted after 30 days.

Your choices and rights

You can stop using Pneuma at any time, and you can withdraw your agreement to this notice: tell us through sharpshootergold.com/support. Pneuma then stops answering you; what the law requires us to keep is kept, and the rest is deleted.
You can ask to see the information we hold about you, to have it corrected, or to have it deleted. We answer within 30 days.
On the client portal (the "Your data" card) you can change whether your chats help improve Pneuma, delete your own Pneuma history, and a company can delete its company's history or end the company data agreement.
Without an account, clearing this website's cookies in your browser starts fresh; ask us through sharpshootergold.com/support to delete your questions sooner.
To see or correct what we hold about you, or for any privacy question, contact us through sharpshootergold.com/support.
If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca) or, in British Columbia, the Office of the Information and Privacy Commissioner for British Columbia (oipc.bc.ca).

Children

Pneuma is for adults working in the drilling industry and is not directed at children under 18. We do not knowingly collect children's information; if we learn we have, we delete it.

If something goes wrong

If a breach of our safeguards creates a real risk of significant harm to you, we tell you and report it to the Privacy Commissioner, as Canadian privacy law requires.

AI answers

Pneuma is an AI and can make mistakes. Check its numbers. The directional driller decides; Pneuma never controls the well.

Changes

If this notice changes, Pneuma asks you to agree again before your next question. Earlier versions are available on request.

By choosing "I agree", you agree to Pneuma collecting and using information as this notice describes. If you use Pneuma for a company, make sure you are allowed to share the information you put into it.

Well data on the client portal (company accounts)

A company can choose, on its client portal, to see its wells there. It is off until an Office account of that company turns it on and confirms that the company has the right to put those wells' data there and is responsible for who sees it - its clients' (operators') permission and privacy law. While it is on, the company's SharpShooter Gold copies send the open well as the program worked it out: the well's details, surveys, plan, targets, slides, rig activity, daily tickets and the KPI report - never the survey tool's raw readings. The company's tool inventory and ticket prices, entered in the program or by its Office accounts on the portal, are kept there too. It is stored on our own server, outside the website, and shown only to that company's Office accounts; SharpShooter Gold does not use it or share it for anything else. Turning it off deletes it from our server at once.

Sign-ups on this website

Downloading from sharpshootergold.com, joining the phone app tester list, requesting a demo or sending a support request asks for your name, phone number and email. They are stored on our own server with the date and your connection's address, seen only by SharpShooter Gold, and used only to provide the download or the Google Play test and to contact you about SharpShooter Gold. They are not shared with anyone else. A support request may be answered on the spot by Pneuma on our own server; we see every request. Email [email protected] to be removed.

The tester group on Google Groups

Google Play lets only members of our tester group install test versions. When you join it, Google Groups shows us, as the group owner, the email address of the Google account you joined with. Members cannot see each other, nothing is posted in the group, and we use the list only for the Google Play test. Leave the group from its page at any time; Google's own privacy policy covers Google Groups and Google Play.
